From Manual to Magical: Automation Strategies for Multi-Facility AP & Clinical Labs
TRANSCRIPT
Michael Kalinowski: Welcome, everyone. My name is Michael. Thank you for joining us today for From Manual to Magical: Automation Strategies for Multi-Facility AP and Clinical Labs. Our primary speaker is Allison Still. Allison, thank you for being here.
Many labs face the challenge of using multiple disconnected laboratory software systems (diagnostic lab software) to manage specimens and reporting. This can quickly turn a clinical lab workflow from static to chaotic. Instead, a comprehensive informatics platform offers a single source of truth that’s intuitive, complete, and flexible. Such platforms include modules for anatomic pathology and clinical laboratory management, automation engines, digital pathology support, direct-to-consumer lab testing portals, and outreach applications.
Advanced laboratory information system (LIS) platforms, such as the LigoLab Informatics Platform, also include embedded laboratory billing solutions (lab revenue cycle management), which eliminate denied claims and capture revenue more efficiently. With automation and rules, advanced LIS systems remove bottlenecks, reduce paper processes, and transform labs.

Allison Still: Let’s start with accessioning. I’ll open a new order. Once I select the client, default values such as patient class and lab billing source are automatically applied. Special instruction tags alert users to required fields such as patient ID or referring physician. The lab information system detects duplicate patient profiles and automatically prompts you to link them.
Rules tied to providers automate order setup, such as reflex testing. In LigoLab’s LIS system solution, any type of testing, AP, clinical, molecular, or microbiology, can be added to the same order. Histology protocols, codes, and templates apply automatically downstream. Order-save rules prevent missing data, ensuring accuracy before printing labels or scanning requisitions.
The home screen is customizable for each user, showing queues, counts, and templates relevant to their role.
On-Demand Webinar: From LIS Systems of Record to LIS Systems of Action
Michael Kalinowski: Allison, can you describe the flexibility of rules for different labs?
Allison Still: Rules are entirely customizable. Each lab can set its own conditions and actions, including custom scripts.

Grossing and QA
Allison Still: The grossing queue is real-time. Users can scan specimens, view requisitions side by side, and apply templates for gross descriptions. Tags and workflow actions track instructions or QA issues without interrupting lab workflow. For example, a discrepant patient name can be flagged, preventing the release of the report until it is resolved. Stats on discrepancies can also be generated.

Blocks, Slides, and Multi-Facility Support
Allison Still: The block and slide queues track real-time processing with user and timestamp logging. Tags applied earlier (e.g., embed tissue on edge) follow specimens downstream.
Multi-facility support is built in. Each user only sees cases at their facility, improving pathology lab management and security. Specimens can be transferred between facilities, and unique identifiers ensure there is no overlap.

Pathologist Resulting and Coding
Allison Still: The pathologist queue shows all cases ready for review. Color indicators highlight turnaround times and priorities. Each pathologist can customize their queue view to their preference.
Final diagnosis fields support macros, dictation, and linked microscopic descriptions. Tags remind pathologists of provider-specific requirements. Coding is automated, with CPT and ICD assignments based on test type and macros. Correlations between results are created automatically. Microphotographs can also be attached.
Automation here improves both accuracy and speeds sign-out.

Dashboards and Analytics
Allison Still: Dashboards provide real-time visual insights into lab performance. Metrics include turnaround times, grossing productivity, histology productivity, and pathologist case completion. Dashboards are customizable, coded in JavaScript and SQL, or requested from LigoLab support.

Closing
Michael Kalinowski: Thank you, Allison. Today, we highlighted how advanced laboratory information systems (LIS software) support automation, rules-driven workflows, QA tracking, multi-facility coordination, and real-time analytics.
At LigoLab, we go beyond being a vendor. We align with our customers to help laboratories grow and thrive despite staffing shortages, high volumes, and reimbursement challenges. Thank you all for joining. We’ll soon send the recording so you can share it with colleagues.
Learn More About LigoLab
LigoLab is an informatics company that helps clinical and anatomic pathology labs run, scale, and get paid on one platform. Its enterprise laboratory information system software unifies specimen intake, processing, results, and distribution across AP, clinical, molecular, microbiology, and cytology. An integrated lab revenue cycle management module is embedded in the same platform, linking operational and lab billing data. That cuts rework and speeds reimbursement.
A flexible rule and automation engines sit at the core. Labs utilize both for reflex logic, validation checks, auto case assignment, quality assurance flags, and distribution workflows. Barcode chain of custody, audit trails, and role-based access strengthen accuracy and compliance with HIPAA, CLIA, and CAP. Multi-facility support enables teams at multiple sites to see only what matters at their location.
The interface engine supports HL7, FHIR, and APIs. It connects EHRs, analyzers, and payers. Digital pathology integrations route whole slide images into reporting functionality. Client and provider portals simplify outreach, order entry, and report delivery.
Embedded laboratory billing solutions manage eligibility, coding assistance, claims scrubbing, denials management, and patient billing. Because clinical and billing rules are linked, demographics, medical necessity, and coverage edits are enforced up front. First-pass resolution improves, and so does cash flow.
Real-time dashboards surface turnaround time, bottlenecks, productivity, and utilization by site, instrument, and test. Leaders track KPIs, spot trends, and act fast. Built-in analytics and exports feed finance, quality, and regulatory reporting.
LigoLab also supports patient engagement and direct-to-consumer lab testing through a secure web portal for self-registration, scheduling, payment, and result delivery. Its EHR connectivity network speeds provider onboarding and lowers interface upkeep at scale.
Former lab technicians lead LIS implementations. Configuration comes first, not custom code. Training and success management keep teams up-to-date and productive. Aligned pricing links cost to usage. With LigoLab, lab customers replace fragmented tools with one powerful LIS system that enhances quality, increases efficiency, and supports growth.
